Pergola World Design Services Protocols

At Pergola World, we strive to provide clear and efficient protocols to guide you through our custom architectural design process. Below are the detailed steps, from booking to project completion, to ensure a smooth experience.

1. Initial Consultation Process

All design services begin with a thorough consultation via phone or video call. To schedule your consultation:

  1. Schedule Your Consultation via Calendly: We use Calendly to help you easily book your consultation at a time that works for you. Several automatic reminders will be sent prior to your meeting.
  2. Pay a for Your Design Tier: When scheduling through Calendly, a PayPal link will prompt you to pay the selected design tier price to confirm your booking.
  3. Complete the Design Services Customer Questionnaire: This form captures important details about your project.

2. Design Services Tiers & Pricing

We offer four tiers of design services tailored to project size and complexity. Each package includes design time, one round of edits, and a materials discount.

Starter Design Package – $550

  • Design Time: 4 hours
  • Included Edits: 1 hour of free edits
  • Materials Discount: $75 off materials
  • Turnaround: 5 business days for initial design, 3 business days for revisions

Enhanced Design Package – $850

  • Design Time: 6 hours
  • Included Edits: 1 hour of free edits
  • Materials Discount: $150 off materials
  • Turnaround: 7 business days for initial design, 3 business days for revisions

Advanced Design Package – $1,250

  • Design Time: 8 hours
  • Included Edits: 1.5 hours of free edits
  • Materials Discount: $250 off materials
  • Turnaround: 10 business days for initial design, 4 business days for revisions

Premium Design Package – $1,800+

  • Design Time: 10 hours
  • Included Edits: 2 hours of free edits
  • Materials Discount: $700 off materials
  • Turnaround: 14 business days for initial design, 5 business days for revisions

3. Payment Terms & Invoicing

  • Payment: While booking your first appointment through Calendly, a payment is required.
  • Automatic Reminders: Clients will receive several automated reminders about their upcoming meeting to ensure smooth communication.

4. Tier Upgrades

  • If the complexity of your project exceeds the time or scope of the selected tier, you may be asked to upgrade to a higher tier. You will be notified, and an additional deposit may be required based on the revised tier price.

5. Design Process & Documentation

  • The design process includes:
    • Initial consultation to discuss project details
    • Custom design tailored to your requirements
    • Isometric views, elevations, floor plans (if applicable), post and beam layouts, foundation details, and a detailed materials list and quote.

    Turnaround times depend on the selected tier, with each package including one round of edits.

6. Permitting & Local Regulations

  • Client Responsibility: It is the client’s responsibility to obtain any required permits from local planning offices or Homeowners’ Associations (HOAs).
  • Site Plan: Clients must provide a high-quality site plan in PDF format if permits are needed.
  • Revisions for Permitting: If additional changes are required due to permitting needs, additional design time will be billed at $125/hour.

7. Meeting Cancellation & Rescheduling

  • Meeting Cancellations

    • 48+ Hours Notice: No cancellation fee will be applied.
    • Less than 48 Hours Notice: A $250 fee will be applied.

    Rescheduling

    • Free Rescheduling: You may reschedule for free if done at least 24 hours in advance.
    • Late Rescheduling Fee: If rescheduling is requested within less than 24 hours, a $50 fee will be applied.

9. Additional Design Edits

  • Each package includes one round of free edits. If further revisions are necessary, they will be billed at $125/hour. You will be notified and invoiced before any additional design work is carried out.

10. Final Design Delivery

Once the final design is approved, we will deliver:

  • Complete design documentation.
  • A comprehensive materials list and quote.
  • Any additional revisions or customizations discussed during the project.

Final payment must be made before any final documents are released.

11. Discount on Materials

Each design package comes with a materials discount for items purchased from Pergola World:

  • Starter: $75 discount
  • Enhanced: $150 discount
  • Advanced: $250 discount
  • Premium: $700 discount

This discount will be applied to the final invoice for materials.

12. Refund Policy

Refunds will not be issued once design work begins.
